Payment and Refund Policy:
FULL payment must be paid on booking
No refunds for individual person cancellations on sites
FULL refunds will be given for cancellation up to and including 31 May 2022
$50 cancellation fee will apply on cancellations 1 June 2022 to 30 June 2022
50% refund will be given on cancellations from 1 July 2022 to 30 July 2022
No refunds will be given on cancellations from 1 August 2022 onwards
Booking Reselling Restrictions: you agree not to re-sell any accommodation bookings. You may not, without the prior written consent of Willowbank Caravan Park & Motel:
Resell or offer for resale (by any method or on any site); or
Use for any promotion, competition, advertising, or other commercial purposes; or
Use to increase the demand for other goods and/or services.
If the Accommodation Booking breaches any of these conditions, the accommodation booking may be cancelled, no refund will be offered and the bearer (whether original booking holder or not) of the Accommodation Booking may be refused admission.
Accommodation Entry & Wristbands: entry to the Willowbank Caravan Park & Motel including campgrounds will be permitted upon verification of photo identification (for each person booked) and presentation of your printed guest registration form (one form must be printed per vehicle). The printed registration form will be used to confirm your accommodation booking and will be exchanged for your verified Wristband/s upon arrival. Wristbands must be worn at all times for the duration of your stay. Broken wristbands can be replaced by returning the broken wristband and showing identification at the office.
Your Accommodation Booking: will allow you to stay with the Willowbank Caravan Park and Motel for up to four (4) nights and four (4) days from: Thursday 22/09/2022 - 08:00 AM (AEST) until Monday 26 September 2022 –10:00 AM (AEST).
Maximum Number of People in Motel/Cabin or Camping Site: at the time of purchase you must nominate how many people will be on your accommodation or camping site. Numbers may be increased up to the maximum allowed for the booked site but cannot decrease below the initial booked number.
Selection of Camping Site: all Camping Sites will be allocated at the discretion of Willowbank Caravan Park and Motel. If you wish to camp as a group sites must be booked as a group by one primary contact person. Camping sites (ie Medium or Large/ Powered or Un-powered) are located and grouped by size in separate areas.
Willowbank Caravan Park & Motel Rights: reserves the right to amend or vary the advertised camping configuration, capacity (without prior notification) and deny admission to the Camp Site with reasonable cause.
Accommodation Access: unless we publish an earlier accommodation access time, no entry to the Willowbank Caravan Park and Motel is permitted before 08:00 AM (AEST) on Thursday 22 September 2022. Vehicle access into the Camp Site is not permitted before this time.
Vehicle Movement: You are able to come and go from your site and overflow car park with your car for the duration of the event with a strictly 10KM speed limit.
No Animals: animals are not permitted at this event. Registered service animals are permitted (notification to Willowbank Caravan Park & Motel prior is required).
No loud noise or music is permitted after 10:30 PM (AEST).
Silent generators only are permitted.
Generators must be switched off between 12:00 Midnight & 07:00 AM and must not be left running if the campsite is unattended.
Weather: please come prepared for all weather; camping will proceed irrespective of weather conditions. No refunds will be made should you decide not to attend due to bad weather.
Leaving the Camp Site: on departure of the Camp Site please make sure all your belongings, camping equipment, rubbish and vehicles are removed. Willowbank Caravan Park will not be responsible for any belongings left on the Camp Site and anything left behind will either be discarded or donated to charity.
Rubbish: The Willowbank team will do several bin runs throughout the day and all rubbish must be placed in rubbish bags or taken with you when you leave.
Cans and Bottles: The Willowbank team support Dolly’s Dream and all cans and bottles will be donated to this cause, we encourage you to place your cans and bottles in the bins provided for this purpose.
Event Staff Directions: you must follow the directions of Willowbank Caravan Park & Motel staff at all times and comply with the law during your stay.
Minors (children) Under 18 Years: all minors (children) aged under 18 years of age must be accompanied whilst onsite at Willowbank Caravan Park & Motel and campgrounds by a responsible adult, parent or guardian at all times.
Guest Behaviour: at all times you and your guests must act in a respectful and appropriate manner while staying at the Willowbank Caravan Park and Motel. You and/or your guests may be refused entry or evicted if behaving in an unruly, inappropriate, offensive or disorderly manner.
Smoking and Vaping: No smoking or vaping is permitted within 10 meters of any food vendor or in any indoor area (Motel, Cabin, Bathroom) and is subject to applicable Queensland Health laws at all times.
Behaviour and Security: please respect your fellow campers and accommodation holders. Avoid walking through another camper’s site or encroaching on their area. Keep your showers short during peak times and leave your toilet / shower clean for the next person.
Unruly behaviour will not be tolerated and may result in eviction from your accommodation site. You and/or guests will be evicted from Willowbank Caravan Park & Motel if anyone behaves in a threatening or inappropriate manner (aggressive, riotous, abusive, lewd or insulting actions) towards other patrons or The Willowbank Team. There will be security at the Camp Site to ensure the safety and amenity of all campers. You are responsible for the safety and security of your belongings and Willowbank Caravan Park & Motel accepts no responsibility for any loss, damage or theft of your possessions.
Prohibited Items include but are not limited to:
Weapons of any sort including tasers, mace sprays or explosives of any kind (including potential missiles / projectiles).
Nitrous oxide bulbs and canisters.
Flares, fireworks, sparklers, explosives or any fire twirling equipment.
Fires and open flames.
Portable laser equipment, laser points or pens.
Sharpies, markers, paint cans or paint pens.
Drones or any other remote control devices.
Toy guns, water guns or slingshots.
Skateboards, scooters, wagons, carts, rollerblades, roller skates, electric scooters, quad-bikes, segways, hoverboards, self-balancing scooters or any personal motorised vehicles.
Animals (excluding registered service dogs such as guide dogs).
Clothing, jewellery or accessory displaying the name of any motorcycle-related or similar organisations or any “declared criminal organisation” within the meaning of the Criminal Code (Criminal Organisations) Regulation 2013.
Any other item deemed by Willowbank Caravan Park & Motel personnel (in their discretion) to be dangerous or offensive or potentially dangerous.
Willowbank Caravan Park & Motel reserves the right to refuse entry to any persons.
Any persons found to be in possession of Prohibited Items will have those Prohibited Items confiscated and they will not be returned.
Any persons found to be in possession of illegal substances or participating in illegal activities will be removed from the Willowbank Caravan Park and Motel and may be referred to the police.
You are responsible for checking all information and ensuring you have purchased the correct Accommodation sites. No refunds or changes will be processed if you make an error in connection with your accommodation booking.
Willowbank Caravan Park & Motel must consider stipulations from Government Health Authorities in determining the COVID Safe measures for the event. These requirements may include, but not be limited to, proof of vaccination, QR code check-in, social distancing, mask wearing and/or other measures. The COVID-19 situation in Australia continues to evolve and the team at Willowbank anticipates Government and Health Authority requirements will continue to change.
You will need to comply with these requirements in order to attend the Willowbank Caravan Park & Motel and will be kept up to date with developments in the lead-up to the event.
You agree to follow Willowbank Caravan Park & Motel policies (including health and safety policies) and COVID Safe measures and instructions while staying at the Willowbank Caravan Park & Motel.
COVID-19 is an extremely contagious disease that can lead to severe illness and death. There is an inherent and elevated risk of exposure to COVID-19 in any public place or place where people are present and there is no guarantee, express or implied, that those attending the Willowbank Caravan Park & Motel will not be exposed to COVID-19. You should evaluate YOUR risk in determining whether to attend the Willowbank Caravan Park & Motel. By entering the Willowbank Caravan Park & Motel, you voluntarily assume all risks related to exposure to COVID-19.
You must agree to these Willowbank Caravan Park & Motel Terms and Conditions to purchase accommodation. Willowbank Caravan Park & Motel may, without notice, invalidate any bookings that are believed to be in breach of the Terms and Conditions, and no refund, replacement or compensation will be offered.
Terms and Conditions are Binding: bookings at Willowbank Caravan Park & Motel are sold or given and admission to the Cabin, Motel or Camp Site is granted on the express condition that you are bound by the Willowbank Caravan Park & Motel Terms and Conditions.
Variation to Terms and Conditions: the Willowbank Caravan Park and Motel may vary these Camping Terms and Conditions at any time without notice to you. Any variations become effective immediately once the variation has been published on the Willowbank Caravan Park & Motel website. Any variations will not operate retrospectively.
